Managing Meeting Requests in wMobile
A new feature has been added in wMobile Email to view and respond to meeting requests. This functionality is available in both versions, wMobile Desktop and wMobile Phone.
If an incoming email contains a meeting request, a meeting response or a canceled meeting, the email will be parsed and the body of the email will be created using information extracted from the meeting part.
View and Respond to Meeting Request in wMobile Desktop
In wMobile Desktop, when the selected email from Email Center contains a meeting request, three new buttons will be added to the email toolbar: ‘Accept’, ‘Tentative’, ‘Decline’.
When hovering the mouse over one of these buttons a tooltip will be opened where the user can insert his comments and to choose if he wants to send a reply email or not to the meeting organizer to notify him whether or not he will be attending. The response will be sent when the user presses one of the three buttons or presses the button inside tooltip.
The same behavior happens when the email is opened separately.
View and Respond to Meeting Request in wMobile Phone
In wMobile Phone, when opening an email that contains a meeting request, a new link will be added to the email header: ‘Respond to meeting request’
When clicking on that link, a panel with meeting response options will be visible (see picture below). Like in Desktop version, three new buttons will be available (‘Accept’, ‘Tentative’, ‘Decline’), a text box where the user can insert his comments and a checkbox to choose if he wants to send or not a reply email to the meeting organizer to notify him whether or not he will be attending. The response will be sent when the user presses one of the three buttons.
What Happens When the User Responds to a Meeting Request?
When a user responds to a meeting request the following actions can happen:
1. A meeting response email would be created
If the ‘Send reply’ option is checked, a meeting reply email would be created and sent to the meeting organizer to notify him whether or not the user will be attending.
2. An appointment would be inserted in the user Calendar
- If the user presses ‘Accept’ or ‘Tentative’, a new appointment is created and inserted in his calendar:
If the user presses ‘Decline’, no appointment is created.
3. After responding, the email is deleted and filed to GoldMine.
After the user responds, the email is deleted and filed to GoldMine. This action happens regardless of the response.
Remove Appointment From Calendar When a Meeting is Canceled
When opening an email that contains a canceled meeting, a new button will be added to the email toolbar: ‘Remove from calendar’.
When clicking on that button, the pending activity linked to that email is deleted from calendar and email is Filed to GM.
Advice for Microsoft Office 365 Accounts
If you're using a Microsoft 0ffice 365 account, you need to check a setting.
Go to: https://outlook.office.com/owa/?path=/options/popandimap, and verify if ‘Send event invitations in iCalendar format’ is checked, as in the image below:
