How to Migrate from Microsoft Outlook to Google Apps
Need to migrate your emails, contacts and calendar events from MS Outlook over to Google Apps? We get a lot of questions about migrating to google apps for those brave enough to do it themselves. We decided to create a series of guides for the most popular platforms we see organizations switching from. Today we'll start with the most popular of these, Microsoft Outlook.
You’ll need to start by logging in to your Google Apps control panel by going to admin.google.com and enabling the following, "Allow users to upload mail using the Email Migration API” (located under User Email Upload in your Gmail settings).
From there, navigate to tools.google.com/dlpage/outlookmigration (you can also search for the tool in Google by looking up Google Apps Migration for MS Outlook). You will be taken to a download page which lists the minimum requirements and supported versions of Outlook:
Once you’ve downloaded and installed the Google Apps Migration for MS Outlook tool (GAMMO), a pop-up login screen will allow you to enter your Google Apps email address and password:
After clicking on Continue you will then need to specify which Outlook profile you want GAMMO to pull your data from.
Under Migration Settings on the next screen you will need to checkmark the services (mail, contacts and/or calendar events) you are interested in migrating from that particular Outlook profile up to Google Apps. We don’t recommend selecting Junk Mail or Deleted Items (unless you haven’t had a chance to sort through them before migrating), as selecting those will increase the size of the data that needs to be moved over making the migration process longer. It also prevents the user from having to organize that data (deleting junk and deleted emails) in your brand new Google Apps mailbox. The tool also provides the ability to choose to move data before or after a set date.
Click on Migrate to begin the estimating process to find out how many emails, contacts, and calendar events will be migrated. The migration will start once the estimation completes. You will also see the number of failures next to each service.
If you are running the migration from your laptop you and need to head out you can always pause the migration, put your computer to sleep and then when you are arrive at your destination you can click on Resume Migration to pick up from where you left off.
Once the migration is complete, you will see a dialog box will pop up to inform you that you're all set. From there, you can log in to your webmail through Gmail and verify that all your data is in the cloud!
